10 Ways AI Can Save You Hours Every Week in Children’s Ministry

Every children’s ministry leader I know is short on the same two things: volunteers and time. I can’t recruit for you in this article, but I can help you find several hours a week you’re currently losing to tasks AI can do faster.

These ten uses all come from real work at my church. Where I share time savings, they’re actual numbers, not marketing math. And the method behind almost all of them is the same: open your AI tool, turn on the microphone, and talk through what you need like you’re briefing a capable volunteer. (New to all this? Start with my practical guide to AI for kidmin.)

1. Draft Parent Emails and Texts

This is the fastest win in the entire list. Talk through what the message needs to say, including dates, links, and details, and let AI draft it. At our church, a parent email and matching text message about an upcoming event was generated in 2 minutes and 11 seconds. Writing it from scratch would have taken 15 to 20 minutes.

Two tips. First, train it on your voice by pasting in a few past emails. Second, when the draft comes back looking a little too much like a robot wrote it, just say: “Take out all the icons and emojis because it looks like ChatGPT wrote it. Also remove all the dashes.” It will, and the result sounds like you.

2. Write Your Weekly Parent Newsletter

Newsletters follow a predictable structure: intro, highlights, conclusion. That predictability is exactly what AI is great at. Talk through this week’s items (the event to RSVP for, the service times, the registration link), and the entire update is finished in less than ten minutes. We used to spend 45 minutes to an hour polishing wording.

3. Build Meeting Agendas and Summaries

Most meetings have a bad reputation because, honestly, most meetings are bad. The problem usually isn’t the meeting, it’s how we lead it. Great leaders send agendas a day ahead so the team can come prepared. With AI, that takes a two-minute voice note: talk through your topics and time frame, and it returns a clean, time-blocked agenda.

Then record the meeting, and afterward ask AI to merge the notes into the agenda itself, so what was discussed, decided, and assigned sits right under each item. Share it within hours, including with people who missed the meeting.

4. Document Volunteer Conversations and Interviews

Taking notes during a delicate conversation feels out of place, and recording it feels worse. Instead, dictate a two-minute recap right after the conversation and let AI turn it into a clean summary with action items and dates. Store it in your church management software notes.

For volunteer interviews, record with permission (“we don’t keep the recording, we just transcribe the audio into notes”), then have AI map the transcript onto your standard interview questions. That saves 20 to 30 minutes of manual write-up per interview.

5. Turn Walkthrough Videos into Ministry Playbooks

This one feels like a superpower. Walk through your Sunday-morning setup with your phone recording while you narrate: lights, check-in stations, tech, signage. Upload the video or transcript and ask AI to turn it into a step-by-step playbook with checklists. Now anyone can open your building with excellence, even in your absence. Do the same for tech booths, check-in software, and every role a volunteer might need to step into.

6. Rough Out Your Annual Teaching Calendar

Planning a year of teaching feels like solving a puzzle without the picture on the box. Fix the immovable dates first (school breaks, big church events, holidays), then talk AI through them and ask it to lay out the teaching weeks. A three-to-five-minute exercise gets you a rough calendar and shows you exactly which decisions you still need to make. You bring the goals and the content; AI handles the scaffolding.

7. Build Complete Event Plans

Talk through your event from start to finish: tech needs, communication and registration, setup, hosts, food, teardown, and who owns each area. After 20 to 30 minutes of back and forth, you’ll have a comprehensive project plan. Then ask for a master timeline starting six to eight weeks out, organized by date, with tasks and owners. Hand it to your team and watch the event basically run itself.

8. Analyze Your Budget in Minutes

Upload an expense report and ask plain-language questions: monthly totals, monthly averages, a year-end projection. You can even say things like “that one expense in June was mileage, exclude it.” What once required hours of spreadsheet work now takes minutes, and you walk into budget season with a clear financial story.

9. Write Host Scripts and Stage Characters

The opening minutes of your service set the tone for everything that follows. AI can write high-energy welcome scripts, comedic bits tied to your theme, and recurring characters with quirks and catchphrases. Save your character profiles and it will write them consistently week after week. We’ve built two-host comedy scripts, complete with a trivia game and a meltdown moment, in 10 to 15 minutes across two or three prompts.

10. Create Worship Transitions and Prayer Prompts

Curriculum-provided worship scripts break the moment you swap a song. Upload your curriculum, your song list, and your service flow, and ask AI to rewrite the transitions, including a memory verse moment between songs. It can also draft closing prayer prompts that connect the day’s Bible story to what kids are actually facing that week. You shape the heart of it; AI saves you the blank page.

A Quick Word on Doing This Wisely

Never put confidential information about kids or families into an AI tool, always review what it produces, and run anything spiritual through your own theological filter. I’ve written a full piece on the ethics of AI in children’s ministry if you want the complete framework.
